Privacy Policy

1. Who we are

Speklr Ltd builds software for RICS-regulated residential surveyors: survey capture, AI-assisted report production, and related platform services. We are registered with the Information Commissioner's Office, registration number ZC128347. Company number 17017384. Registered office: Suite 4, West Hill House, 32 West Hill, Epsom, KT19 8JD. This policy covers two different situations, because our role differs in each: data we process on behalf of the surveying firms that use our platform (section 2), and data we hold for ourselves as a business (sections 3 onwards).

2. If your survey was produced through Speklr

Where a surveying firm (such as Novello Chartered Surveyors) uses our platform to produce your survey report, that firm is the controller of your personal data and we are its processor: we host and operate the software, and we process survey data (including reports, photographs and voice transcripts) only on the firm's documented instructions, under a written data processing agreement. The firm's own privacy policy governs that processing, and requests to exercise your data protection rights should go to the firm; if you contact us instead, we will pass your request to them promptly.

AI features in the platform run under commercial API agreements which prohibit the model providers from using survey data to train their models. Where anonymised data is used to improve the platform, all identifying information is removed first so that no individual or property can be identified; anonymised data is not personal data.

3. Data we hold as a controller

  • Website visitors and enquirers: contact details you submit, correspondence, and technical data described in our cookie notice.
  • Platform account administration: names, work contact details and account activity of the surveyors and staff at firms using the platform, to the extent needed to run their accounts, provide support and secure the service.
  • Business contacts, suppliers and partners: names, work contact details and correspondence.

4. How we use that data and our lawful bases

  • Providing and securing the platform, support and account administration: performance of a contract (with the firm) and legitimate interests.
  • Responding to enquiries and marketing our products to businesses: legitimate interests, with an opt-out in every message.
  • Improving our products, including analytics and anonymised usage data: legitimate interests.
  • Complying with law and regulation, and managing insurance and disputes: legal obligation and legitimate interests.

5. Who we share data with

  • Our group company Novello Surveyors Ltd, for group administration.
  • Service providers under contract: hosting and infrastructure providers (Google Cloud and Lovable/Supabase, hosted in the UK and EU), AI model providers (Anthropic and OpenAI), communications and support tools (Intercom, Slack, Google Workspace), analytics providers, and our technical development partner (Siya Tech Ventures Ltd).
  • Professional advisers, insurers and regulators where required, and any buyer, investor or lender in connection with a sale or financing of the business, under confidentiality obligations.

6. International transfers

Some providers process data outside the UK, including in the United States. Where they do, we rely on UK adequacy regulations or the ICO's International Data Transfer Agreement / UK Addendum, with any required risk assessment.

7. Retention

  • Enquiries and business correspondence: 24 months after last contact.
  • Platform account data: for the duration of the customer relationship plus 12 months, unless the firm instructs deletion sooner.
  • Survey data processed for firms: retained and deleted on the controlling firm's instructions.

8. Security

Data is encrypted in transit and at rest, access is restricted to named individual accounts with multi-factor authentication, and the platform is subject to independent security testing. We will notify affected controllers without undue delay of any personal data breach, and the ICO where required.

9. Your rights

For data we hold as a controller, you can request access, correction, erasure or restriction, object to processing based on legitimate interests (including marketing), and request portability where applicable, by contacting james@speklr.com. We respond within one month. You can complain to the Information Commissioner's Office at ico.org.uk. For survey data, contact the surveying firm that produced your report (see section 2).

10. Cookies

Our website uses cookies and similar technologies. Essential cookies are needed for the site to work and are set without consent. Analytics cookies, such as Google Analytics, help us understand how visitors use the site so we can improve it; these are set only if you accept them in our cookie banner. Where we use advertising cookies to show relevant adverts on other sites, these are also set only with your consent. You can change your choices at any time through the cookie settings link at the foot of every page, or by adjusting your browser settings. Analytics and advertising providers process the data under their own privacy policies and may transfer it outside the UK under the safeguards described in section 6.
